Privacy Notice

Effective 26 September 2026. This notice explains how we use personal information when you contact Park & Lodge or submit an enquiry.

01. Who is responsible

Park & Lodge is currently operated jointly by James Petrie and Alicia Arnold. We jointly decide why and how personal information is used for Park & Lodge enquiries and communications, so we are jointly responsible for that processing.

We use hello@parkandlodge.co.uk as our central privacy contact. You may also exercise your data-protection rights against either of us directly. We share responsibility for handling privacy requests, complaints and security issues and keep each other informed where action is needed.

02. Information we use

When you submit an enquiry we use the information you provide, including your name, contact details, contact preferences and the details needed to understand the lodge purchase you are considering. For Purchase & Negotiation this can include the park and lodge, asking price, buying stage, deadlines, categories of paperwork you have received and the concerns you want us to look at.

If you contact us by email or telephone we also use the content of that correspondence and basic communication records such as the time, telephone number or email address. Technical request information, including an IP address, may be processed to operate and protect the website.

The enquiry form does not accept document uploads or take payment. Please do not include medical information in free-text fields. If you have a practical requirement, describe the feature you need rather than the medical reason for it.

03. Why we use it

We use enquiry information to respond to you, understand what you are asking us to investigate, decide whether our service is suitable and take steps you request before any contract is entered into. Where this processing is necessary for those requested pre-contract steps, our lawful basis is contract.

We also rely on legitimate interests where appropriate to protect the website and communications systems, prevent abuse, keep proportionate business records, respond to general correspondence and establish or defend legal claims. We balance those interests against your rights.

We may process particular information where necessary to comply with a legal obligation. We do not use an enquiry to sign you up to marketing, and we do not make a decision about accepting your case solely by automated profiling.

04. Who we share it with

We use Vercel to host and protect the website, Resend to send transactional enquiry emails and Fastmail for our business mailbox. James and Alicia both have access to the shared Park & Lodge enquiry mailbox. We use Zadarmafor business telephone services.

We do not sell enquiry information. Submitting an enquiry does not cause your details to be sent to parks or sellers. If you later instruct us, relevant information may be shared with the park, seller or your professional advisers where that is necessary for the work you have agreed with us.

We may also disclose information where required by law or where reasonably necessary to obtain professional advice, deal with a legal claim or protect people, systems or property.

05. Processing outside the UK

Some of our service providers process or store information outside the UK. Resend states that its primary processing operations are in the United States and its data-processing terms include UK transfer provisions and standard contractual clauses. Vercel's data-processing terms include the UK International Data Transfer Addendum and standard contractual clauses where required.

Our Fastmail account uses its EU data region for the primary mailbox copy. Fastmail states that EU region data is also replicated to the United States and that backups, logs and debug systems are based there. Fastmail's data-protection terms incorporate standard contractual clauses for EU and UK personal information.

06. Browser storage and website security

The enquiry form uses your browser's session storage to keep an unfinished form available in the same browser tab and to help recover from an interrupted submission. The application rejects stored drafts after 24 hours and clears the draft after a confirmed submission or restart.

Unsubmitted answers are not sent to Park & Lodge by this draft-saving feature. We do not currently use advertising or analytics code on the website. Vercel may use security technologies needed to operate and protect the site.

07. How long we keep information

If an enquiry does not become a client engagement, we normally keep the enquiry and relevant correspondence for up to 12 months from the last meaningful contact, then delete or anonymise it unless a specific reason requires us to keep it longer, for example an active complaint, dispute or legal requirement.

We keep information for no longer than we reasonably need it for the purpose for which it is held. If you later become a client, we will give you any additional retention information that applies to the client file before or when the paid engagement is agreed.

Browser drafts follow the separate 24-hour rule described above. Provider security logs and backups may follow the provider's own restricted retention cycle.

08. Telephone calls and recordings

Our business telephone number is 0330 533 0100. Incoming callers are told when the call is being recorded. For an outgoing recorded call, we tell the person at the start of the call, before substantive discussion, that the call is being recorded and why.

We use recordings only for proportionate business purposes such as keeping an accurate record of material discussions and helping resolve genuine misunderstandings or complaints. We do not use call recordings for advertising or automated profiling. If you object to recording, tell us and we will consider the objection and, where reasonably practical, use a less intrusive way to continue.

09. Your rights and complaints

Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, receive certain information in a portable form, or object to processing based on legitimate interests. Rights are subject to the conditions and exceptions in data-protection law.

You have the right to object to processing based on legitimate interests. Contact us at hello@parkandlodge.co.uk and we will consider the objection and explain the outcome.

You can make a data-protection request or complaint using the same email address or by writing to 36b Bargates, BH23 1QL. You do not need to use special wording. You can also complain to the Information Commissioner's Office at ico.org.uk.
